Bulk uniform programs fail the same way every time: a spreadsheet of 200 names, six reply-all threads about sizes, and a pallet of mediums nobody asked for. Here is the checklist Graceland Medical used to outfit 480 staff in one order cycle — with zero size errors.

Before you start

  1. Define the kit per role — ICU top + pant, lab coat for pharmacy, polo for admin. Fewer SKUs = fewer errors.
  2. Set department budgets — assign cost centers up front, not after invoices land.
  3. Collect sizes as CSV, not email — columns: name, email, department, SKU, size, embroidery text.

Validation is everything

  1. Validate at upload, not at delivery — every row should be checked against real SKUs and real size runs. (LEINYS roster upload flags bad rows with row numbers before anything is ordered.)
  2. Fix only the broken rows — valid rows should flow to a draft quote immediately.
  3. Get embroidery approved per design — one digital proof per logo/placement combo.

Money & delivery

  1. Negotiate per-line pricing — volume tiers apply per SKU, not per order total.
  2. Confirm tax-exempt certificates early — exemption must be on file before payment.
  3. Stage delivery by department — labeled cartons per cost center save a day of sorting.

Run this once and every future cycle is a 15-minute re-order. That is the entire point of a uniform program instead of a uniform purchase.
